Agency regulations and payment methods

1. General provisions

  1. Internet translation agency Art of Translation is owned by the company Art of Translation/ Babel Ewa M. Bilińska based in:

  2. Our offer consists of written translation services and sworn translation in and to European languages, specifically standard documents covering employment, finances, health care, bills of sale and registration papers of vehicles, marital status documents and others.
  3. All prices provided in order confirmations are prices excluding tax and a 23% VAT charge should be added.
  4. The binding price for both parties is the one stated on the order confirmation agreement.
  5. Placing an order means that you give consent for data collection and processing by the ‘Art of Translation’ company database. Personal data is collected and processed for execution of contract. It enables both the client and the company ‘Art of Translation’ to profile and track history of purchases and provided VAT invoices and receipts. We would like to inform you that you have a right to access your personal data and modify it. Submitting personal data is a voluntary process but the given information is necessary for the conclusion and execution of the placed order, and without it, it is impossible to proceed and so the order will not be executed. In order to insure the execution of the order the client has to provide an e-mail address and a contact phone number.
  6. If it is impossible to complete the order we will inform the customer by mail or by phone.
  7. After receiving the completed order form, within an hour we will send you the confirmation of the order together with the order number and its detailed specification.
  8. ATTENTION! Order request forms which are incomplete will not be processed.
  9. After receiving the confirmation of the order request and the payment on our account our service centre will send you an e-mail with the completed translation attached in PDF format.
  10. In the case of certified translations we send you the original paper copy of the translation by priority post after receiving the confirmation of the payment to our account.

2. Execution of the paper copy order of a translation.

2A. Notifications

  1. After receiving the completed order request form we will send you the confirmation of the order together with the unique order number and its detailed specification.
  2. ATTENTION! Order request forms which are incomplete will not be processed.
  3. After completing the translation and receiving the confirmation of the payment we will send you the notice of receipt by e-mail with an attachment containing the scan of the certified translation or the translated document in a digital file.
  4. The same day we mail the original printed out paper copies of the translations by priority post.

2B. Payment methods

  1. ‘COD’ Cash On Delivery – payment on expense of the customer to the employee of Poczta Polska on delivery of the translation.
  2. ‘Electronic payment’ – payment by credit card or bank transfer using the PAYU service while placing an order. Customer data entry is on the website of the PAYU service which is secured by the Thawte certificate. Credit card payment is only accepted for orders not exceeding the cost of 4.000 zloty.
  3. ‘Payment by a ‘standard transfer”- if you wish to pay by a standard transfer (for example on a post office or in a bank) please choose that option from types of “electronic transfers”. In the given link you will find all the data needed for such a transfer together with a completed and a ready to print out payment form. The transfer should be done during 3 days. After 7 days the order will be cancelled!

2C. Mailing charges

  1. Original copies of the translations are being sent by priority post at the expense of Art of Translation
  2. If so instructed by the client the original copies can be sent by courier service on expense of the recipient
  3. Lump sum charge for ‘cash on delivery’ parcel post amounts to 12 zloty

2D. Mailing

  1. In case of payment made through the PAYU service while placing an order, the original copies of the translation are sent during one working day from the moment of completion.
  2. In case of choosing the option ‘payable on receipt’ the original copies are sent during 1-2 workdays from the moment of completion of the order.
  3. In case of choosing the option ‘payment by standard transfer’ the original copies are sent during 1-2 working days from the moment the transfer is processed and confirmed.
  4. The charge for courier post is indicated on the order confirmation and depends on the overall cost of the order.
  5. Mailing is dispatched only on workdays.
  6. Ordered paper copies are sent by priority registered post (letter or parcel) using Poczta Polska postage service. The duration of priority delivery should not exceed one working day. Art of Translation does not take responsibility for of an unpunctual delivery service by Poczta Polska.
  7. There is an option of mailing the translation using the UPS courier company. In case of courier mailing there is an option of defining the hour of delivery or/and the service of mailing abroad. We are asking the clients interested in such a service to leave an appropriate instruction in the message space. Attention! This service is charged separately according to the courier company tariff.

3. Execution of the digital file order of a translation

3A. Types of payment

3B. Mailing

  1. Digital files are sent in a PDF format to the e-mail address provided on the order form. In case of the “pay by standard transfer” option being chosen the file is sent after the payment was processed and confirmed on our account.

4. Receipts and VAT invoices

  1. Depending on the chosen option in the form we will provide you with a receipt or a VAT invoice.
  2. In case of paper copies the original receipt or VAT invoice is sent together with the consignment.
  3. In case of your translation being ordered in a form of a digital file the scanned receipt or VAT invoice will be sent in a PDF format to a given email address. Please print out the receipt or VAT invoice and hold onto it.
  4. e. If the mailing address differs from the address on the invoice please make a note of it on the request form.

5. Complaints and refunds

  1. Complaints are handled at the agency office. The complaint should be submitted in writing. Please include the delivered translation and the indicated errors to your entry.
  2. In case of receiving a damaged or incomplete file please contact us on the phone or mail us at biuro@artoftranslation.pl.
